Summary
Lincoln Electric is seeking an Administrative Assistant for our Euclid, OH headquarters. The Administrative Assistant will play a pivotal role in supporting the Cleveland Distribution department(s) by executing a variety of administrative functions with precision and professionalism. This position requires exceptional interpersonal skills and the ability to communicate effectively across multiple departments. This is an on-site position at our Euclid, OH plant.

What You Will Do:

Administrative Management: Oversee and manage all secretarial functions for Cleveland Distribution, ensuring smooth operations and timely communication.

Autonomous Operation: Perform all tasks independently while maintaining a high level of accuracy and efficiency.

Purchase Order Oversight: Review and process Purchase Orders to facilitate procurement and inventory management.

Attendance and Performance Management: Compile and manage sensitive information regarding performance rating programs. Track attendance for hourly employees.

Training Coordination: Schedule and track compliance training for distribution center employees, fostering a culture of continuous learning and adherence to safety standards.

Safety Reporting: Promptly report any safety concerns to the appropriate personnel, contributing to a safe working environment.

Reporting: Generate and analyze daily, weekly, and monthly reports related to Quality, Productivity, and attendance metrics to inform decision-making.

Supply Management: Order and manage inventory of supplies for Cleveland Distribution, ensuring operational needs are met without interruption.

Incident Reporting: Enter all incident and safety reports into the QUEST system for accurate tracking and compliance.

Employee Scheduling: Create and post employee schedules, ensuring optimal staffing levels and coverage.

Communications: Post and distribute all notices relevant to Cleveland Distribution and Lincoln Electric, keeping all employees informed.

Meeting Coordination: Schedule, participate in, and provide meeting minutes for various departmental meetings to ensure clear communication and action items are documented.

Record Maintenance: Maintain comprehensive records for Cleveland Distribution, including Standard Operating Procedures (SOPs) and training documentation, ensuring compliance and accessibility.

ISO Coordination: Act as the ISO Coordinator for ISO 14001 & ISO 45001 (Environmental & Safety)

Strategic Support: Assume additional responsibilities as directed to support the Company's 2025 Strategy, demonstrating flexibility and a commitment to organizational goals.
Required Experience & Education - High school diploma required; an associate's degree or technical training is preferred.
- Strong organizational abilities and meticulous attention to detail, ensuring accuracy in all tasks.
- Capable of handling multiple priorities in a dynamic environment, adapting to changing needs.
- Demonstrated ability to manage confidential information with discretion.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) with a willingness to learn new software. Experience with SAP and Concur is a plus.
- Proactive in assessing departmental needs and taking initiative to address them.
- Excellent attendance record and a strong commitment to continuous skill improvement.
