The Stanford King Center on Global Development is a Stanford University research center working to improve the lives of the world's poor. Operating under the Stanford Institute for Economic Policy Research (SIEPR), the Stanford King Center catalyzes Stanford's distinctive strengths in global poverty and development research to turn path-breaking research into real-world results. To this end, the King Center supports research initiatives that unite Stanford faculty working on different areas of international development, including big data for development, governance and service delivery in Africa, conflict and polarization, and global productivity and economic growth. The King Center provides hands-on research and experiential learning opportunities for students eager to explore the challenges and opportunities of the developing world, and funds original student research. The Center also sponsors a number of events, including faculty workshops, high-level policy conferences, as well as visiting scholar programs. The Center disseminates findings through working papers, policy notes, and online material.

POSITION SUMMARY:

The Stanford King Center on Global Development seeks an Administrative Associate to provide administrative and operational support for the King Center's programs, activities, and events. The Administrative Associate will be the first contact for inquiries about the center and its programs and the liaison for center visitors. The Administrative Associate will provide administrative support for student programs and faculty research initiatives and work with the center's event planner in planning and executing conferences, speaker series, and other events throughout the year. The Administrative Associate will process a variety of financial transactions using Oracle Financials, support travel arrangements including international travel, and other duties as assigned.

The successful candidate is a highly motivated self-starter and should thrive on interacting with multiple constituents and supporting a variety of projects in a fast-paced environment. We are looking for a friendly and efficient team member to provide informed, coordinated, timely, and proactive support. The ability to foster community with students, faculty, and staff is central to the job. This position reports to the King Center's Administration and Finance Manager. This is a 100% FTE on-site position. Past experience at Stanford is a plus.

CORE DUTIES:
  • Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, reports, brochures, and displays.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
  • May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
  • Maintain approved content on websites.
  • May perform human resources transactional support, e.g. time cards, I9s, and/or faculty affairs support.
  • May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

MINIMUM REQUIREMENTS:

Education & Experience:

High school diploma and three years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

PHYSICAL REQUIREMENTS*:
  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
