ADMINISTRATIVE OFFICE MANAGER- BELLEVUE

PRIMARY FUNCTION:
This role is responsible for managing office building and facilities administrative operations, ensuring an
efficient and organized environment. Also provides administrative support to the Chief People Officer (CPO).
Promotes a professional and welcoming atmosphere as primary point of contact for front desk.

ESSENTIAL DUTIES/RESPONSIBILITIES:
• Ensure efficiency of office space and resources through managing inventory of supplies, canvassing
shared physical spaces for organization and cleanliness, creating and implementing related procedures,
sorting and distributing mail, managing file systems, and overseeing maintenance requests for shared
office equipment.
• Manage costs of shared supplies through inventory management, maintaining appropriate stocking
levels, and re-ordering with appropriate vendor.
• Serve as liaison with leadership and third-party vendors related to office functions, such as recycling
services.
• Manages calendar for facilities and building operations functions, such as elevator testing, fire alarm
testing, and planned internet outages.
• Oversees Facilities work orders and assigns as appropriate. Responsible for appropriate follow up.
• Serve as main point of contact for front desk operations.
• Provides confidential-level administrative support to the CPO. This includes calendar management to
ensure the CPO is organized to support the goals of People Services and AAAWA, meeting planning and
organization for external and internal events, responding and forwarding general inquiries as
appropriate, acting as proxy for communications and approvals as applicable, and document
management for key meetings aligning with organizational priorities. Maintains accurate organizational
reporting and ensures timely submission of forms and reports, including Executive and Board-level
meetings and materials.
• Contributes to a positive team dynamic through respectful interactions, positive contributions, and

• Incorporates AAA's vision, mission and values in day-to-day activities and behaviors; guides and
motivates others to remain committed to AAA's vision mission and values.

SUPERVISORY RESPONSIBILITIES:
• This job does not have supervisory responsibility.

MINIMUM QUALIFICATIONS:
• High school diploma or GED
• 6+ years' experience in office management

KNOWLEDGE, SKILLS, ABILITIES:
• Strong time management skills and ability to manage multiple priorities
• Expert in MS Office Suite, including outlook, word, power point, and excel.
• Expert in internally utilized software tools, such as DocLink for processing invoices and expense reports,
DocuSign, and Co-Pilot.
• Excellent written and verbal communication skills.
• Strong problem-solving skills.
• Highly effective facilitation and project management skill sets.
• Experience successfully collaborating professionally and diplomatically with diverse stakeholders.
• Ability to establish, nurture, and optimize key internal and external partnerships and influence
organizational change.

WORK ENVIRONMENT & PHYSICAL DEMANDS:
• The physical environment is typical of a standard office space. It requires the employee to work inside for the
duration of work. Must be able to remain in a stationary position, sitting for more than 50% of the time. This
position will require occasionally moving about inside the office to access equipment, cabinets, etc. May work
around office equipment which could be noisy, such as copiers and fax machines.

• Travel: Rarely Travel

SALARY:

$68,800 - $84,300
