This position serves as the de facto registrar for undergraduate Wharton students. In this capacity, this person provides leadership to the Undergraduate Division for academic and student records and ensures the integrity of these records. This person is the Division's primary source for all details regarding university record systems and represents the interest of the Undergraduate Division staff and students at university meetings designed to maintain and enhance student record systems. Being effective in this role will require ongoing collaboration with division staff and the Office of Student Records and Financial Services all the while looking for ways to improve efficiency in these systems. This person is responsible for supporting the daily operations of the Division and providing student data reports on a regular basis. Duties include:

- Management of Wharton undergraduate student records.
- Oversight of academic and student records systems.
- Course enrollment and data management.
- Partnering with internal and university partners on systems and student
records issues.

Job Responsibilities

  • Student Record Management: Serve as primary resource for all undergraduate Wharton student records from point of entry to graduation or separation. Ensure integrity of academic records and related processes at all times. Collaborate with division staff to utilize student records to resolve questions and facilitate projects in their area (advising, student life, etc.). Communicate directly with students for key processes, such as part-time status, graduation applications, and degree verification.
  • Systems Oversight: Act as division expert for academic and student record systems, i.e. Banner, CourseLeaf Section Scheduler (CLSS), CIM, and DegreeWorks. Contribute to strategic decisions by representing division at university-wide Pennant system meetings (Records Community Readiness Group, Student Data User Group), and school-specific Wharton/SRFS meetings. Review and update the catalog on an annual basis, coordinating with departments, as necessary.
  • Course Enrollment Management: Manage enrollment in courses and programs under the WH departmental code. This includes creating courses/sections as needed in CIM/CLSS and managing student enrollment. Coordinate billing and fees for specialized division-led courses with Student Records and Financial Services.
  • Data Management: Build and analyze reports with regard to student records, academic progression, and demographic information. Utilize a combination of SAP Business Objects / Web Intelligence, Microsoft Excel querying tools to create dynamic and actionable student data reports. Discover and implement new ways to leverage student data to increase efficacy of division outreach to students, especially in regard to academic advising.
  • Staff Support: Lead training of division staff around data, systems, processes, and manage access to systems. Liaise to academic departments as course/curriculum management issues and matters arise and train these staff as needed. Attend regular Wharton departmental coordinator meetings and collaborate with Wharton Operations for room scheduling or related issues.
  • Archiving & Documentation: Manage archive of student records and develop strategy surrounding record retention across systems, archive in OnBase. Document decisions/actions related to individual students in university systems and/or in communication to students. These can include results of academic standing and judicial matters. Manage online archive system to accurately track active or expunged judicial cases.
  • New Initiatives: Collaborate with Director of Equity and Inclusion as well as Finance and Data Analyst to assist in the development of predictive academic data models aimed toward the identification and prevention of students encountering academic difficulty. Maintain regular connection with Wharton Computing staff to discover projects or ideas that will aid the division in the utilization of student and curricular data.

Qualifications:

A bachelor's degree is required; master's degree preferred. A minimum of 3-5 years work experience in higher education or student services is required; or equivalent combination of both education and experience.

  • Demonstrated knowledge of student record systems, preferably Banner, and database management in a university setting.

  • Experience with course enrollment systems and understanding of academic schedules and registration processes.
  • Strong collaboration skills, with experience working across departments and with various stakeholders.
  • Proven problem-solving and decision-making abilities.
  • Strong written, verbal, and presentation skills.
  • Experience with change management processes when implementing new systems or updates to existing systems.

Preferred Qualification:

  • Demonstrated proficiency with Ellucian Banner, DegreeWorks and Courseleaf. Fluency in Excel and SQL databases.
