Position Summary

Reporting to the Access Services Manager, the Course Reserves Supervisor is responsible for coordinating course support services, including but not limited to physical and electronic reserves. This position manages course support services in close collaboration with staff across the University, supervises course reserves library staff, coordinates reserves workflows, and manages the day-to-day setup and usage of the Ex Libris Leganto resource list management software. This position will be instrumental in creating a vision for the future of Course Reserves. Scheduled hours will be Tuesday-Thursday 12pm-8pm and Friday-Saturday 10am-6pm. On occasion the schedule requires flexibility as this position provides coverage for other staff and for changes to operating hours as needed.

Essential Functions

Course Reserves Coordination (50%)

  • Manages and coordinates incoming course reserve requests. Serves as the primary communicator and collaborator with faculty and course designers to create reading lists for their courses.
  • Monitors and assists with the creation of electronic and physical reserves.
  • Creates internal workflows and documentation for Course Reserves unit staff members. Creates and disseminates training materials and partakes in one-on-one meetings to assist faculty and course designers in building and using their Leganto reading lists.
  • Works with Access Services Manager and the Reference department's liaison librarians to explore approaches to communicating Course Reserves services and policies to faculty and course designers to ensure an effective, high-quality, and sustainable service model.
  • Actively seeks out opportunities to increase use of Leganto and other relevant services across the University.
  • Assists Course Reserves technicians with the set-up and maintenance of book displays.
  • Manages copyright on reserve items in Ex Libris Alma. Accepts or declines permissions and fees to avoid unwanted charges.
  • Tracks reserves usage and prepares statistical reports.
Management Responsibility for Course Reserves Software and Procedures (10%)
  • Serves as University Libraries coordinator for Ex Libris Leganto and Alma's course reserves modules. Seeks learning opportunities and ideas on ways to enhance the use of Leganto for University of Denver stakeholders. Trains Course Reserves and Access Services staff on use of Leganto.
  • Ensures Course Reserves integration with course platforms Canvas and 2U.
  • Stays abreast with all issues involving Course Reserves, including software, online course platforms, policy, process, trends, and best practices.
Staff Management (20%)
  • Supervises one full-time library technician and one part-time library technician in the Course Reserves unit. May coach non-appointed staff on Course Reserves procedures.
  • Hires, trains, supervises, and evaluates the Course Reserves unit. Responsible for delegating activities related to staffing this unit, such as training and workflows. Liaisons with the Dean's Office and other divisions for Human Resources issue. Promote a positive and effective working environment.
  • Approves Course Reserves unit staff timecards and time off requests in coordination with the Access Services Manager.
Lending Desk On-Call (20%)
  • Works on-call at the Lending Desk assisting and coaching student employees on Lending Desk activities utilizing the Alma ILS to circulate library materials, collect fines utilizing the credit card machine, answer user questions utilizing the University Libraries website and electronic resources, and refer patrons to the appropriate department within the library or DU campus as needed.
  • Handles patron questions and concerns, communicates and handles service problems politely and efficiently, follows procedure to solve patron problems, maintains pleasant and professional image.
  • Assists with coverage during extended hours during the University's finals period. Occasionally opens the library on Saturdays at 8:30am.
Other Functions:
  • Other duties as assigned.
  • Assists with cross training within Access Services department.
Supervisory Duties:
  • Supervises 2 appointed staff-FTE 3532 and PTE 927-and potentially non-appointed hourly or work study student employees.

  • Ability to work collaboratively and cooperatively in a team-based organization
  • Ability to follow established procedures and to perform work requiring considerable attention to detail
  • Strong verbal and written communication skills
  • Ability to create, update, and manage workflow documentation and training materials
  • Ability to work independently, organize own work, and coordinate work activities of others
  • Ability to establish and maintain effective working relationships with library staff, patrons, course designers, and university faculty
  • Ability to perform detailed work in an automated system
  • Ability to use and troubleshoot issues with automated library systems, computers, and other office equipment
  • Ability to prioritize and delegate fluctuating workloads, and to handle multiple tasks simultaneously
  • Ability to collect and analyze statistics and maintain clerical records
Required Qualifications
  • High school diploma or GED
  • Experience working in a library
  • Experience in a public service or customer service-forward role
Preferred Qualifications
  • Supervisory experience
  • Experience working with Ex Libris Leganto resource list management software or a similar system
  • Experience working with educational technology course platforms such as Canvas or 2U
  • Experience working with Ex Libris Alma or a comparable ILS
Working Environment
  • Indoor work environment
  • Split between a desk in an open-office environment, a busy service desk, and some movement around the library
  • Workload varies alongside the academic calendar and user needs
  • Noise level ranges from quiet to conversational speaking
  • This position necessitates substantial in-person engagement during the majority of working hours. The University of Denver and University Libraries offer a progressive flexible work policy that permits approximately one day of remote work per week, which can be negotiated between the employee and their supervisor.
  • The unit is one of several working collaboratively and cooperatively in a team-based organization
Physical Activities
  • The person in this position alternates between staying in a stationary position for extended periods and needing to move around the office.
  • They traditionally perform shelving activities-which require stooping, bending, kneeling, traversing stairs or stepstools, and lifting up to 35 pounds-pushing a loaded library cart, and moving packages and boxes.
Work Schedule

Tuesday-Thursday 12pm-8pm and Friday-Saturday 10am-6pm.

The salary grade for the position is 6.

Hourly Range:

The hourly range for the position is $20.40 - $25.55.
