Position Overview:
This position provides executive level administrative and operational support to Executive Leaders, Board Committees and senior leaders, as needed.

Essential Functions:

  • Provides administrative and scheduling support for several Executive Officers and other senior leaders, as needed.
  • Schedules, plans, and coordinates logistics for meetings, trainings and events including; agenda preparation and distribution, technology needs, presenter coordination, calendar invitations, room and hotel reservations, travel and meals.
  • Attends meetings when necessary and ensures key discussions, decisions and action items are accurately documented. Follows up on action items as needed.
  • Facilitates internal and external communication between executives and team members, clients, vendors, and other stakeholders. Serves as a point of contact and relays messages accurately and promptly.
  • Prepares and distributes communications. Drafts, edits, and proofreads correspondence, department newsletters, reports, and presentations. Disseminates information to relevant parties in a timely manner.

Minimum Qualifications & Required Knowledge, Skills and Abilities:
  • High school diploma or equivalent combination of education and experience sufficient to perform the essential functions of the job. Post-secondary education a plus.
  • Minimum of 5 years of administrative experience at an executive office, preferred.
  • Solid analytical skills with strong attention to detail.
  • Ability to actively listen and take accurate notes.
  • Solid skill in exercising discretion and sound judgment with sensitive situations, requests and information.
  • Solid planning and prioritization skills.
  • Creative problem-solving skills.
  • Strong written and verbal communication skills, with ability to communicate at all levels of the organization including the Board.
  • Ability to work under the pressure of a heavy workload and/or short timelines when completing work assignments and remain flexible with last minute direction changes.
  • Ability to take initiative, work independently and complete projects without detailed instructions.
  • Skill in developing and maintaining interpersonal relationships.
  • Ability to establish and maintain cooperative working relationships with team members throughout all departments.
  • Strong computer skills including MS Office applications, Diligent, Adobe Pro and WebEx.
  • Valid driver's license.
