Our client, a growing private equity firm, is seeking an Executive Assistant/Receptionist to support their NYC office. The hours are 9am - 6pm (flex for overtime) five days a week.
Responsibilities:
- Support two Executives with administrative needs
- Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation
- Track and submit expense reports
- Maintain upkeep of conference rooms to coincide with schedule and usage
- Enter visitors in the building security system and enter work orders into the building system
- Manage the catering budget of the office and order weekly team lunches
- Pick up deliveries/escort vendors for set-up
- Answer the main phone line and forward incoming phone calls
- Order and track the office and kitchen supplies inventory
- Provide backup coverage for the Office Manager and EAs
Qualifications:
- 5+ years of relevant experience
- Experience in financial services
- Bachelor's degree preferred
- Proficient in Microsoft Office Suite and Zoom
- Demonstrates the ability to work independently and collaboratively to ensure timely deliverables
- Strong interpersonal and communication skills
Compensation/Benefits:
- Up to $85K base with bonus
- 100% paid medical, dental and vision - United healthcare (starts day one)
- 401K with a match 4%
- PTO - 20 days (personal/vacation), 5 sick days and the office is closed between Christmas and New Year's Eve
