Job Description: The Office and Facilities Coordinator supports the mission of the College of Social Work by serving as the college's primary coordinator and point of communication for office management and facilities maintenance, repair, projects, and issue resolution. The Coordinator ensures efficient operation of support functions in the offices to include office supplies, copier/printers, mail delivery, storage space, and room calendaring. The Coordinator serves as Building Coordinator, including handling all communication related to building maintenance and projects, coordinating activities and contractors related to moving, furniture, painting, etc., and maintaining key control and access cards for college facilities. Under the direction of the Chief Administrative Officer, the Coordinator handles non-financial administrative functions including facilities, coordination of IT services with MITS, asset control, business continuity plans, and office functions. The position requires establishing and maintaining relationships, frequent communication, and attention to detail.

Required Qualifications

Bachelor's degree or equivalent experience. 2 years of relevant experience required.

Desired Qualifications

2- 4 years of relevant experience preferred.

Salary range is $55,100 to $72,400.The actual salary will fall within this range based on the candidate's qualifications, internal equity, and the unit's available budget.

Responsibilities

Coordinates actions to keep CSW-occupied facilities in sound working order and adjusted to the needs of occupants. Serves as the College's Building Coordinator, as the primary resource and point of contact with Facilities Operations and Development (FOD). Communicates with building occupants about building issues, disruptions, emergency procedures and improvements. Manages key and lock access, including serving as BASIS Access Coordinator (door entry system) for shared spaces. Coordinates ordering, communication, and oversight of movers, painters, furniture suppliers, and other contractors to maintain the building environment. Serves as primary point of contact for custodial services. Assists the Chief Administrative Officer with space planning and construction project planning, budgeting and design, and serves as the college point of contact for projects under construction. Assists the CAO with assigning office space to building occupants and maintaining records of space usage.

Administrative Management. Ensures the responsive and efficient functioning of the college office environment including evaluation of practices, recommending improvements, monitoring results, and trouble-shooting issues that arise. Oversees student workers to assign duties such as sorting and delivery of mail and processing shipping requests from College stakeholders, managing general supply cabinets to maintain stocks, and maintaining the beverage/refreshment area in the Dean's Suite. Independently coordinates needs of College for contracts, such as for printing and copier needs (Maintains all College copiers, including submitting maintenance requests, restocking printing supplies, and updating printer address books and directories), for disposal (shredding including contract management and ordering of services), and other support areas. Maintains Outlook calendar conference/hoteling for the College and serves as coordinator for space requests. Coordinates assignments, access and organization of storage space.

IT/Purchasing. Handles procurement of approved IT software and equipment for internal College stakeholders in coordination with College's MITS partners. Assists CAO with coordination of IT services, and acts as back-up liaison to MITS. Maintains accurate tracking of assets in Workday in coordination with MITS, and coordinates all disposal requests to surplus. Serves as pcard manager to facilitate purchasing and ensure compliance with university policy; initiates requests for purchasing payments and reimbursements; ordering and maintaining office supplies; empowers access to fiscal, human and operational resources requested by internal stakeholders through the upkeep and coordination of the College's intranet site.

Student Supervision. Hires, trains and supervises students in customer service and support of College's faculty, staff and guests. Directs student tasks such as mail sorting and delivery, supply upkeep, and special requests from faculty and staff.

Other duties as assigned, including onboarding/offboarding support, maintaining internal and external directories, updating organizational charts and faculty/staff Outlook listservs, and maintaining the college's risk management plans.
