Job Summary
Provide program coordination and specialized administrative support for highly innovative strategic research initiatives associated with the Office for Research and Innovation in the Carle Illinois College of Medicine. This position reports to the Associate Dean for Research and Innovation.

Duties & Responsibilities

  • Program Coordination
    • Serve as liaison and primary point of contact connecting the college with university stakeholders, external partners, local/regional/national/international communities to advance the research and outreach interests of the college.
    • Responsible for daily operational processes and efficient management, workflow and coordination of projects for a complex administrative unit.
    • Develop, implement and coordinate logistics for all programs, events and initiatives. This includes managing from initial concept through to completion.
    • In collaboration with the Carle Illinois Marketing and Communications unit, manage and maintain content on websites and intranet sites, create promotional/informational materials, and any other forms of media/marketing for outreach and communication.
    • May collaborate with the Department of Biomedical and Translational Sciences (BMTS) and the Director of Student Research, to support efforts to identify and recruit faculty mentors for research immersion opportunities for students.
    • In partnership with the Advancement office, plan and implement effective outreach and cultivation activities to engage industry partners.
    • Partner with other staff in the Office of Research and Innovation as appropriate on various unit initiatives.
  • Program Administration
    • Counsel, advise and provide specialized support to unit leaders. Remain knowledgeable of University policies and procedures.
    • Independently monitor and respond to action items and stakeholder requests to ensure programs/initiatives are moving forward effectively and efficiently.
    • Develop and maintain a database of program and participant data using web-based technologies.
    • Support grant-funded projects, including managing grant activities and objectives, measuring outcomes and developing intermittent and final reports to funding agencies/stakeholder groups.
    • Serve as liaison and provide guidance to faculty and students on the requirements of the Institutional Review Board (IRB). Work with students to identify potential mentors for research concepts.
    • Assist in evaluating travel and publication award applications
  • Other
    • Perform other duties as assigned.
    • This position will require occasional flexibility for the workday and work hours, with travel locally, regionally, and nationally.

Minimum Qualifications

Specialty Factors

• Bachelor's degree.
• A total of two (2) years (24 months) of work experience in higher education, research, humanities, healthcare, or similar area.
• Demonstrated experience in independent completion of planning, organization and/or execution of events.

  • • Strong communication and interpersonal skills with the ability to cultivate collaborative and mentoring relationships. • Ability to think creatively, problem solve and resolve conflicts. • Experience and record of accomplishment that reflects excellent organizational skills and establish priorities. • Ability to multitask with a high degree of accuracy and attention to detail.
Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 1/6/2025. The budgeted salary range is $60,000 - $70,000. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Sponsorship for work authorization is not available for this position.
