Job Description Summary
The Sr. Workplace Occupancy Planner's primary focus is to provide strategic and tactical Occupancy Planning, data management, and client relationship management expertise, to manage the capacity supply and demand within assigned Client's portfolio. This role will be developing creative occupancy planning solutions, along with extensive customer communications and presentations, resulting in excellent service delivery.
Job Description
What You Will Be Doing
- Work onsite in the South Bay office with our clients and customers.
- Develop and implement occupancy, change management, and relocation plans for various locations.
- Collaborate with Real Estate Portfolio Strategist, Project Management, Occupancy Planners and other CRE team members, for various ad hoc project activities, such as scope, schedule, vendor, and budget tracking.
- Manage occupancy planning activities and space allocations in support of day-to-day business unit needs.
- Create and recommend occupancy plans as decommissions, new leases, and site reconfigurations arise.
- Facilitate neighborhood planning, client and customer meetings, and programming calls with various Workplace team members and key business partners.
- Support change management as it pertains to changing workspace and work style.
- Support communication plan as it pertains to occupancy plan.
- Ticket management for new hire, space, move and/or other requests for specific ticket types in the assigned region.
- Develop strong relationships with business contacts to understand product area focus, business adjacencies, departmental reorganizations, growth projections, and other relevant profile information.
- Update and establish space stacking plans and floor block plans, conduct space analysis and create various occupancy options, supported by data.
- Gather, analyze, document, and visualize data for monthly, quarterly, semi-annual, and annual reporting.
- Conduct physical space audits to document and validate occupancy and occupancy attributes and collaborate with other onsite teams to ensure space audits are being conducted as required and prescribed.
- Be comfortable with providing Excel analysis of CAFM data, to support planning scenarios.
- Ability to develop presentations that tell a concise and relevant story, with visuals.
- Strive to maintain best in class space and occupancy data.
- Update database on information received from HR for new hires, terminations, and moves.
- Support quarterly audits by physically walking space and updating data; collaborate with onsite resources for audits and reporting of sites outside of assigned territory.
- Produce monthly, quarterly, yearly reports reviewing occupancy, vacancy, and other space analysis; organize data analytics and space solutions into presentation format for client delivery.
- Make recommendations to enhance operational efficiency, service delivery, cost savings, and asset utilization.
- Implement processes in accordance with Client Playbook for Space & Occupancy Planning.
Skills and Experience
- Bachelor's degree in related discipline or field of study (i.e., Architecture, Interior Design, Corporate Real Estate & Facilities Management Planning/Coordination, Facilities, Project or Construction Management, etc.) or 5+ years of related experience.
- Experience in a corporate real estate environment preferred, service provider experience a plus.
- Demonstrated experience with architectural and engineering drawings, concepts & design.
- Demonstrated experience with various office furniture systems.
- CAFM knowledge a big plus; analytical skills preferred.
- Possesses strong analytical skills and the ability to develop conclusions and recommendations.
- Ability to handle concurrent projects with minimal supervision and direction.
- Excellent customer service, interpersonal relationship skills, and a desire to engage with others on a regular basis.
- Thrives on working in a fast-paced environment; constant change is to be expected.
- Must be able to work collaboratively across functions and meet aggressive deadlines.
- Well organized, self-directed, and able to balance multiple planning projects.
- Experienced in managing projects of varied scope and complexity.
- Experience managing and executing move coordination/day-to-day service requests.
- Proactive and solution focused.
- Enjoy working in a team environment because being a team player is a must.
- The ability to work independently and autonomous; self-motivated.
- Strong oral, written and presentation skills along with a strong attention to detail and quality.
- Assumes ownership of requests to ensure successful completion.
- Ability to handle concurrent projects with minimal supervision and direction.
- AutoCad, MS Excel, Powerpoint, and CAFM proficiency required at an intermediate level, minimum.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $119,000.00 - $140,000.00
