Under the general direction of Materials Management Managers / Supervisors and within established hospital and departmental guidelines, the Team Leader performs a broad range of activities associated with the operation and service level of their designated Materials Management departments.
Incumbent will actively support the day-to-day operations; focusing on productivity, customer service, staff support/management, and area safety/cleanliness and vendor management. Serves as area expert and will provide coverage in the absence of their staff supervisor.
Collaborate directly with supervisor to continually analyze current operations and make recommendations for improvement. Inform Manager of any potential issues, which may have an impact on the department, staffing, morale or other aspects.
PRINCIPAL OPERATIONAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.
• Assist in the development of new procedures; create training documents as needed; track training presented, manage employee timesheet.
• Possess the ability and competency to satisfactorily perform any job in the unit.
• Work with management, Environmental Services and Safety to maintain acceptable work environment standards, create and distribute documentation of procedures.
• Ensure all staff is assigned to area jobs; maintain lunch/break schedules and work is being completed in a timely and appropriate manner.
• Monitor productivity throughout the day to ensure established performance standards are being met; work with supervisor to make staffing adjustments, as needed.
• Handle all customer inquiries/complaints; educate staff member(s) on performance issues to avoid any repeated incidents.
• Responsible for the receipt and delivery of bulk medications from vendors to the pharmacy or nursing units as well as the transport of medication orders that are packaged for delivery from the pharmacy to various areas of MGH
PRINCIPAL ADMINISTRATIVE DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.
• Ensure all daily manifest /tracking sheets / logs are completed appropriately by staff; compile weekly/monthly reports, as required.
• Call in staff members, as appropriate, or provide coverage to cover any shortages; report absences to supervisor.
• Replace supervisor in his/her absence; work closely with manager to handle designated administrative responsibilities during this period.
• Maintain staff training documentation, update, as appropriate.
• Perform administrative tasks, such as Payroll, Employee scheduling, etc.
• Provide support in the Supervisor's absence.
• Provide PeopleSoft processing support as necessary.
• Oversee loading dock space / operations and vehicle traffic.
• Ensure staff are adhering to and utilizing safe work practices.
• Assess and order medical gas inventories daily online.
• Troubleshoot Arrival barcode tracking system as needed.
• Coordinate with vendors and Radiation Safety to receive, test and safely deliver radioactive packages if applicable at location.
• Follow Hospital, JC and DPH guidelines and procedures.
Qualifications
SKILLS/ABILITIES/COMPETENCIES REQUIRED: Must be realistic, objective, measurable and related to essential functions of this job.
• Basic mathematical and communication skills required.
• Familiar with MGH Logistics and Receiving & Distribution Operations.
• PeopleSoft knowledge and /or required.
• Must be able to learn how to operate electrical or manual power jacks.
• Must have demonstrated ability to learn to utilize computerized receipt and delivery techniques, including the use of desktop and handheld computers.
• Proficient experience with Microsoft Office Applications.

• High School diploma or GED equivalent.

SUPERVISORY RESPONSIBILITY (if applicable): List the number of FTEs supervised.
The Receiving & Distribution Team Leader will be responsible for the daily operation of the Lunder and 70 Blossom St receiving sites including:
• Oversee day shift department operations from approximately 6:30AM-230PM.
• Ensure all received packages are delivered by the end of each business day.
• Prioritize package flow for distribution associates throughout the day.
• Arrange off-shift coverage including holidays and weekends for all Lunder and 70 Blossom St. receiving operations as required.
• Oversee Kronos time keeping duties. Coordinate / approve any overtime if required.
• Keep department Manager informed of any issues that may arise.
• Represent department in Manager's absence.
FISCAL RESPONSIBILITY (if applicable): Indicate financial "scope" information, i.e.: size of budget, volume, revenue, etc.; Indicate total physician/non-physician FTE scope
• Control the authorized use of overtime.
WORKING CONDITIONS: Describe the conditions in which the work is performed.
• Ability to work in a fast paced and stressful environment.
• Ability to work non-standard hours if necessary.
• May assist in other Materials Management operations and need to do manual labor (lift/move up to 50 pounds).
• Repetitive lifting, carrying, pushing and pulling.
• Lifting/carrying up to 50 lbs. under ideal safe lifting conditions as specified by HIOSH lifting equations.
• Pushing/pulling force. 30 lbs. initial force 13 lbs. sustained force.
• On your feet most of 8 hour shift.
• Limited hazards associated with soiled linens, needles.
• Limited exposure to research specimens and animals.
• Exposure to all types of outdoor weather.
• Frequent visits to multiple external MGH buildings and docks within the greater Boston MGH campus.
